Previously, when creating shifts for each store, we collected staff’s preferred shifts on paper or via individual messages. Since each store has 20 to 30 staff members, it took at least 30 to 60 minutes to transfer the collected shifts to Excel. Shift creation is done once every six months, so for all 175 stores, creating shifts twice a month takes a huge amount of time, approximately 350 hours just for posting, which has become a major issue. I did.
In addition, help work is occurring almost every day throughout the company, but before the introduction of Rakushifu, when recruiting help, we held a “shift meeting” where shifts from each store were brought together and staffed. I was making adjustments. It was necessary to send individual messages to staff members requesting help each time, and it took a lot of time to make a final decision. Additionally, as it was difficult to visualize expected labor costs using Excel, we considered using a shift management tool that would allow us to accurately understand and manage them, and decided to introduce Rakushifu.
■Changes/results after introduction
– Shift collection has become more efficient, allowing approximately 2 hours of time to be devoted to other tasks.
With the introduction of Rakushifu, there is no need for Excel transcription work after shift collection, and each store manager can now devote approximately two hours each month to other tasks. Additionally, everyone can now check completed shifts on their smartphones, and there is no longer any work to share.
・Significantly reduce man-hours by centrally managing help adjustments Since you can check shifts and personnel at each store on Rakushifu, it is now possible to coordinate help without having to have a meeting. This has significantly reduced the man-hours required to recruit help and adjust personnel. In addition, we were able to request help from staff all at once as a group, and even after a shift change, the shift list was checked in a timely manner, reducing the amount of time it took to contact each employee individually. – Enables visualization of labor costs
After introducing Rakushifu, calculating labor costs has become much easier. In addition to personnel costs, transportation costs can also be set, making it easier than before to estimate “expected personnel costs.”
■Comment from the person in charge of AP Holdings Co., Ltd.
Mr. Sagara, Manager of Human Resources Department, AP Holdings Co., Ltd. Tsukada Farm Shibuya Miyamasuzaka Manager Mr. Tanaka, Tsukada Farm Omotesando Chief Chef Mr. Ishii
Before introducing Rakushifu, we were using Excel, which took a lot of time to collect and create shifts, and to recruit help. Additionally, it was difficult to manage personnel costs using Excel, and we felt the need to accurately grasp personnel costs and manage shifts. In fact, by introducing “Rakushifu”, there is no need for shifts to input data into Excel, and help adjustments can now be managed all at once on “Rakushifu.” This led to a significant reduction in man-hours. As a result, each store manager can now devote
approximately two hours each month to other tasks, reducing both their workload and costs.
Recently, there was a proposal to temporarily suspend the use of Rakushifu in some areas due to a review of operating costs, but when we checked with the field, they said they would continue to use Rakushifu. There were voices saying that they wanted to do it. This incident made me realize that Rakushifu has benefits that outweigh the usage fees, and that I don’t need the option of quitting.

accelerating. In light of this situation, we are currently offering “Rakushifu”, a service that contributes to reducing management man-hours by streamlining shift management.
