Jooto, a task/project management tool operated by TIMES (Minato-ku, Tokyo, CEO: Takumi Yamaguchi, TSE Prime: 3922), aims to solve operational problems that hinder DX (digital transformation). We conducted research on organizational behavior management in
collaboration with Professor Sori Shima of Hosei University, an expert in behavior analysis, and presented the research at the Japanese Society for Behavior Analysis held from Friday, September 13th to Sunday, September 15th, 2024. We announced the results. *
*
In addition, we have started providing an analysis report service that visualizes the three indicators that are effective for business improvement revealed in this research. We will also strengthen our proposals for business improvement using this index in the
implementation support scene. *

*Summary of research results*
We were able to confirm that the performance of teams using cloud tools could be improved by improving business operations while measuring the following three indicators.
* Three indicators: * – Quantified whether the task registration rules are followed * Rule compliance rate *
– Stability rate* that quantifies whether tasks are progressing as planned without being canceled or postponed.
-Completion rate*, which quantifies whether registered tasks are completed by the scheduled date.

Research overview
background
“Jooto” is a cloud-based task/project management tool that allows teams to share progress and information and streamline work progress. While an increasing number of companies are introducing tools to improve their operations, there are many cases where these tools fail to penetrate within the company, leading to setbacks and
inefficiencies. Therefore, in order to scientifically verify the operational rules for introducing cloud tools, we conducted a research study at Hosei University, an expert in behavioral analysis. This led to a joint research with Professor Sori Shima.
■Research background details:

*How*
*3 metrics* to measure team performance for teams of 3-5 people who use Jooto on a daily basis
was set up and the data was collected periodically. Team managers and researchers held online meetings once every one to two months to discuss team performance based on these index data, and worked to adjust rules and improve management methods as necessary. Like this * Total of 4 interventions*
We tracked whether changes were observed in each indicator over a period of one and a half years (January 2, 2023 to June 16, 2024), and verified the feasibility of a PDCA cycle based on behavioral indicators.

What are the three indicators?
* (a) Compliance rate of task registration rules *
Create rules regarding input items when registering tasks, and calculate the percentage of items that are followed as the “compliance rate.” In business management, it is important to accurately describe tasks and share them with the entire team. In particular, by aligning the granularity of tasks, such as whether a task is “presentation preparation (broadly defined)” or “material preparation (narrowly defined),” it becomes possible for the team to consistently understand the progress status. As the compliance rate for task registration rules improves, it will be written in a unified format within the tool, facilitating smooth understanding among members and clarifying priorities.

* (b) Stability of planned tasks *
Among the registered tasks, the percentage of tasks that are not “suspended,” “postponed,” or “cancelled” is calculated as “stability.” Improving stability means that there will be fewer tasks that exceed your capacity and a mix of ambiguous “I’ll do it if I can” tasks. Your team can focus on the tasks that really need to be done, eliminate unnecessary tasks, and allocate resources optimally.

* (c)Completion rate of registered tasks*
Average number of days it takes this team to complete a task15 The percentage completed within a day is calculated as the “completion rate” (tasks that have been “suspended,” “postponed,” or “canceled,” and tasks with a long planned man-hour are not included.)
Improving task completion rates increases your team’s ability to get things done. In addition, by reducing the number of tasks left behind, members can quickly tackle new tasks, and the team moves more smoothly. This improves the overall performance of your team and increases your project success rate.

Research results
With the aim of developing an effective operating method for project management tools, we implemented four interventions based on three indicators, and the monthly average values of each indicator compared to the beginning of the experiment. The results changed as shown below, and improvements were confirmed for all values. Compliance rate: 53.4% → 95.2% *41.8 point increase*
Stability: 78.0% → 86.6% *8.6 points increase*
Completion rate: 77.5% → 90.0% *12.5 points increase*
The figure below shows specific trends in weekly numbers (black lines) and monthly numbers (orange) for each indicator. The vertical line is the point where the intervention is implemented, and changes can be clearly seen as a result of the intervention. Please see the paper for more details on the intervention.

Improved performance in three metrics. Providing analysis report services In order to make the results of this research useful for Jooto customers, we will provide an “Analysis Report Service” that measures and provides a report on the three indicators that have been found to be effective: “Compliance Rate,” “Stability Rate,” and “Completion Rate.” It started on Wednesday, September 18, 2024. Using these three indicators, you will be able to clarify your company’s issues, consider ways to improve, and check the effects. In addition, for implementation support, dedicated staff can now utilize this report to create rules and make business improvement proposals. Please contact us below for details.

Even if you have installed the latest system, it is not used or produces no results, so you give up on using it…
In this case study, we explored ways to overcome such situations, which are common in the DX era. By standardizing the use of tools and managing project planning and execution separately, we were able to create a flow in which team members headed in the same direction and achieved results while finding optimal solutions for how to use the system. It seems that the three indicators verified in the research will be automatically aggregated and provided as a report from now on. The real pleasure of industry-academia collaboration is that research results can be quickly utilized to improve systems. I look forward to future developments.

By using the three indicators verified in this research, customers who are newly introducing Jooto or expanding its use within their company can break away from the previous situation of “just doing it” and use it based on numbers. I believe that this feedback will help us understand the current issues more clearly. In addition, we would like to read these numbers in our introduction support, strengthen support that helps customers think of solutions, and accompany customers to improve their business operations.
