We were able to confirm that the performance of teams using cloud tools could be improved by improving business operations while measuring the following three indicators.

background
“Jooto” is a cloud-based task/project management tool that allows teams to share progress and information and streamline work progress. While an increasing number of companies are introducing tools to improve their operations, there are many cases where these tools fail to penetrate within the company, leading to setbacks and
inefficiencies. Therefore, in order to scientifically verify the operational rules for introducing cloud tools, we conducted a research study at Hosei University, an expert in behavioral analysis. This led to a joint research with Professor Sori Shima.

was set up and the data was collected periodically. Team managers and researchers held online meetings once every one to two months to discuss team performance based on these index data, and worked to adjust rules and improve management methods as necessary. Like this * Total of 4 interventions*
We tracked whether changes were observed in each indicator over a period of one and a half years (January 2, 2023 to June 16, 2024), and verified the feasibility of a PDCA cycle based on behavioral indicators.
What are the three indicators?
* (a) Compliance rate of task registration rules *
Create rules regarding input items when registering tasks, and calculate the percentage of items that are followed as the “compliance rate.” In business management, it is important to accurately describe tasks and share them with the entire team. In particular, by aligning the granularity of tasks, such as whether a task is “presentation preparation (broadly defined)” or “material preparation (narrowly defined),” it becomes possible for the team to consistently understand the progress status. As the compliance rate for task registration rules improves, it will be written in a unified format within the tool, facilitating smooth understanding among members and clarifying priorities.

Among the registered tasks, the percentage of tasks that are not “suspended,” “postponed,” or “cancelled” is calculated as “stability.” Improving stability means that there will be fewer tasks that exceed your capacity and a mix of ambiguous “I’ll do it if I can” tasks. Your team can focus on the tasks that really need to be done, eliminate unnecessary tasks, and allocate resources optimally.

Improving task completion rates increases your team’s ability to get things done. In addition, by reducing the number of tasks left behind, members can quickly tackle new tasks, and the team moves more smoothly. This improves the overall performance of your team and increases your project success rate.
Research results
With the aim of developing an effective operating method for project management tools, we implemented four interventions based on three indicators, and the monthly average values of each indicator compared to the beginning of the experiment. The results changed as shown below, and improvements were confirmed for all values. Compliance rate: 53.4% → 95.2% *41.8 point increase*
Stability: 78.0% → 86.6% *8.6 points increase*
Completion rate: 77.5% → 90.0% *12.5 points increase*

Even if you have installed the latest system, it is not used or produces no results, so you give up on using it…
In this case study, we explored ways to overcome such situations, which are common in the DX era. By standardizing the use of tools and managing project planning and execution separately, we were able to create a flow in which team members headed in the same direction and achieved results while finding optimal solutions for how to use the system. It seems that the three indicators verified in the research will be automatically aggregated and provided as a report from now on. The real pleasure of industry-academia collaboration is that research results can be quickly utilized to improve systems. I look forward to future developments.
